WeighPay Ticket Tracker (Lot Tracking) - Step-by-Step Guide

This guide will help you navigate the WeighPay Ticket Tracker feature, also known as Lot Tracking, to manage transactions efficiently. This feature allows you to track transactions across various lot numbers and review associated data, such as unit counts, total weight, and dollar amounts.

Step 1: Access the Ticket Tracker
  1. Log in to the WeighPay Control Page.
  2. Navigate to Tickets → Ticket Search.
  3. Click on the Ticket Tracker button to view all active lot numbers and transactions.
Step 2: Viewing Ticket Trackers

On the Ticket Tracker page, you’ll see a list of lot numbers (e.g., Lot #5, #4, #3). Each lot number will show the transactions associated with it:

  • Unit Count: Shows the number of units in each transaction.
  • Total Weight: Displays the cumulative weight across all transactions.
  • Total Dollar Amount: Displays the total value across the transactions.
Step 3: Creating a New Inbound Ticket

To create a new inbound ticket, go to Tickets → Create an Inbound Ticket. You have the option to select an existing Lot Tracking number or create a new one:

  • Select Lot Tracking Number from the dropdown (e.g., Lot #5).
  • Alternatively, create a new tracking lot by providing relevant information such as a customer name, contract details, or supplier.
    This ticket can be updated later, regardless of whether it's paid or unpaid.
Step 4: Managing Tickets

When creating or updating a ticket, you can:

  • Add a Ticket Tracker if it was missed or edit it as needed.
  • Update the tracker by selecting from other available lot numbers.
  • Add descriptions or details about contracts, buyers, or suppliers for better tracking.

Example Use Case: A tire recycler tracks inbound sell tickets against a single buy ticket to monitor the difference between sales and purchases.

Step 5: Using the WeighPay Pro Application

You can manage ticket tracking in both the back office and the WeighPay Pro client app. On the front end, you can highlight any ticket and select or remove the ticket tracker as necessary. New ticket trackers can also be created in the app. You can save the ticket to a specific lot number or add a tracker later.

Step 6: Comparing Buy vs. Sell Tickets

In the reporting section, compare the buy side and sell side of a lot:

  • This will show unit count and weight comparisons across purchase and sales transactions.
  • Some users (e.g., tire recyclers) may reverse the process, tracking the sell tickets first.
Step 7: Ticket Settings and Enabling Lot Tracking
  • To enable or disable lot tracking, navigate to Settings → General Settings.
  • Scroll down to the Ticket Tracker section and toggle it on or off depending on your needs. 
  • You can also set how the lot number and descriptions appear on printed tickets for proper recording.

WeighPay Ticket Tracker is a robust tool that allows for detailed tracking of transactions by lot number. Whether you're managing purchases, sales, or inventory, this feature offers flexibility in tracking and reporting, ensuring accurate and transparent data management.
